Initial Consultation:

  1. Determine size, style, and scope for each event
  2. Create and update the Event Budget
  3. Provide SAWC Preferred Vendor list and referrals
  4. Provide spreadsheets for guest and vendor management

Vendor Coordination:

  1. Meeting and negotiating with TEN vendors (Additional vendor consultations available for extra cost)
  2. Up to FIVE 2-hour consultations with Bride and Groom or family, including:
  3. Budgeting Meeting / Inspirational Board
  4. Four Quarterly Status Meetings

Pre-Wedding Event Planning:

  1. Assist with the planning of any ONE pre-wedding event (Vendor referrals to be provided)
  2. Attendance of coordinator for 5 hours on event day

Planning & Timeline Preparation:

  1. Provide templates for Final Agenda, Details Execution Checklist, and Seating Arrangement
  2. Create a full timeline/agenda for all contracted events (2.5 – 3 hour meeting)
  3. Attend Final Venue meeting to confirm the floor plan, timing, and menu
  4. Provide 5 Rentals from sister company Bling and Bells (valued at $150)

6 Weeks Before the Event:

  1. Schedule a Timeline Meeting
  2. Provide templates for Final Agenda, Details Execution Checklist, and Seating Arrangement
  3. 2-hour meeting at SAWC studio to create the timeline
  4. Upload timeline on Google Docs for any changes or additions

1 Week Before the Event:

Schedule venue visit/rehearsal to finalize:

  1. Floorplan
  2. Final Agenda
  3. Menu

Ensure coordination with the MC and DJ

During the Week of the Event:

  1. Contact vendors via email/phone to confirm arrival time, final payment, and logistical needs
  2. Email timeline to venue, photography & video team, transportation, and other vendors

On the Wedding Day:

  1. Provide Wedding Manager and 1 lead coordinator on-site for 12 hours (split between two days if needed)
  2. Lead Coordinator available for 5 hours at Pre-Wedding Event
  3. Conduct thorough venue & vendor checks
  4. Execute all details provided by the couple (favors, stationery, rental items)
  5. Welcome and assist guests with place cards and seating
  6. Maintain continuous contact with the venue manager or captain for last-minute changes
  7. Test all audiovisual equipment for entertainment and sync entrance songs with the DJ
  8. Coordinate the line-up of the Bridal party for a seamless entrance
  9. Ensure the program follows the planned agenda for a stress-free and flawless event
